Comparison
Spreadsheets and group chats vs. PuntaManaged
A plain comparison of running a rental-management company on spreadsheets and group chats versus one connected system, including when not to switch.
Plenty of well-run management companies work from a shared spreadsheet, a few group chats and each channel's own extranet. It's cheap, flexible and everyone already knows it. Here's where that setup holds up, where it strains as you grow, and what changes with PuntaManaged.
| Topic | Spreadsheets and chats | PuntaManaged |
|---|---|---|
| Calendars | Copied by hand from each channel. Accurate until someone forgets. | Imported via iCal on a schedule, with sync health for every feed and conflict records. |
| Double-booking checks | A person spots the overlap, if they happen to look. | Manual bookings, owner stays and blocks are checked against all other occupancy before they are saved. |
| Turnover assignments | Posted in a chat, often as a screenshot of the calendar. | A task for each booking, assigned to a person or team, with overlapping assignments rejected. |
| Proof of cleaning | Photos in a chat thread, mixed in with everything else. | Checklist results and required photos stored with the task and reviewed in QA. |
| Repairs and approvals | Quotes by text message, approvals by email. | Tickets with versioned estimates, the owner's decision and when it was made, and verification before closing. |
| Owner updates | A monthly email, plus answers to questions one at a time. | An owner portal with bookings, care updates, published statements and approvals. |
| Door codes and Wi-Fi | Pasted into messages that stay in chat history. | Shown in the guest's stay link only during the check-in window. |
| Who sees what | Anyone with the link sees every tab. | 19 roles with property-level assignment. Owners, vendors and cleaners see only their own records. |
| History | Cell edits with little context about who changed what, or why. | Activity and audit history on reservations, tasks, tickets and approvals. |
| Flexibility | Add a column in seconds and improvise freely. | Structured workflows: less room to improvise, more consistency between people. |
| Setup effort | Nothing new to set up. | Import properties, connect calendars, invite your team, then your owners. |
| Cost | Free, or close to it. | A monthly subscription, with no booking commissions. |
When not to switch
Stay with what you have if you manage a few properties yourself, do your own cleaning, and your owners are happy with a monthly email. Wait if you need something PuntaManaged doesn't do yet: pushing rates and listing content to channels through their APIs, answering channel messages from one inbox, taking direct-booking payments, or full accounting and trust accounting. And don't switch in the middle of your busiest weeks. Move between seasons, when your team has time to learn it.
